Now seeking to hire a Part-Time Data & Systems Coordinator:
Position Summary
The Data & Systems Coordinator is responsible for data management systems, digital operations and supporting the Ministry’s technology infrastructure. This position ensures reliable technology services, maintains accurate organizational data, supports staff with technical needs, and helps implement technology solutions that advance the organization's mission, ministry, and outreach programs.
Includes:
• Setting goals with PCH Directors to utilize data systems & I.T. and to promote Pilgrim Center of Hope’s mission
• Participating in weekly staff meetings to ensure awareness of staff projects and needs
• Maintain a professional and respectful decorum rooted in Catholic ethics and values
Key Responsibilities
Include but are not limited to:
1. Systems Administration - Act as an administrator of, and oversee backups of, I.T. software and services utilized by PCH; such as Microsoft 365, Salesforce CRM, Box, Square, and Dashlane. Onboard incoming employees and offboard outgoing employees per technology needs.
2. Data Integrity & Reporting - Collaborate with staff to develop procedures for accurate & standardized records in Salesforce and other services as needed. Generate data reports to support decision-making, fundraising, communications, and program evaluation.
3. Tech Support & Training - Provide technical support to staff for computers, printers, phones, email, software applications, and other technology-related systems. Collaborate with I.T. vendor for troubleshooting, recovery, and other solutions as directed.
4. Monitor developments with I.T. and data services that PCH utilizes; such as Box, Salesforce, Microsoft, Dashlane, Adobe, Square, QuickBooks, Avast, etc.
Ensure organizational transitions during feature updates and deprecation, as needed.
5. Educate the staff about—and help implement—relevant best practices, compliance requirements, and training resources.
Qualifications
The IT & Data Specialist must be competent in the following skills:
• High level of personal ethics and trustworthiness.
• High level of proficiency in I.T. projects within the last five years.
• High level of proficiency in Microsoft 365.
• Familiarity with donor management or customer relationship management (CRM) systems. Salesforce certification highly preferred.
• Keen interest in educating oneself in I.T. and data news, software, and solutions.
• Clear communicator in the English language.
• Organized and efficient so that all appropriate timelines and deadlines are met.
• Self-starter/self-directed as most activities are based on existing timelines and should be handled as required without the necessity to be told or followed up by the directors.
• Attention to detail; closely follows regulations and requirements for successful software administration and data cleanup.
• Patience in collaboration with co-workers who possess varying levels of technology proficiency.
Physical Requirements
• Ability to sit, stand, and work at a computer for extended periods.
• Ability to lift and move technology equipment up to 25 pounds.
Work Schedule and Location
• This position is part-time (20 hours) with the possibility of development into full-time (30+ hours).
• Working hours and days are flexible. It is the responsibility of the coordinator, under supervision of the PCH Director, to schedule weekly work hours so appropriate goals are accomplished, and communicate with PCH Director in the planning projects, setting goals and budget.
